The Webedia Exhibition Stand at gamescom 2025 – Behind the Scenes of a Mega Project (Case Study)
How we mastered the chaos to build the City of the Future at gamescom 2025
We created one of the most engaging exhibition stands at Europe’s largest gaming event. This is a story not just about design and technology, but primarily about managing a complex project where every single change triggered a domino effect.
Goal: visibility, business, and showmanship reimagined
Following the success of 2024, Webedia returned to us with even more ambitious goals. First and foremost: maximum visibility. We achieved this by aligning the entire exhibition stand with the hall's main corridor axis.
This strategic positioning ensured that our massive stage—featuring an $8 \times 4$ m central screen and two $6 \times 3.5$ m curved wings—was visible from a distance. We also nearly doubled the size of the grandstands, creating a space that was impossible to ignore.
Secondly: solid business objectives. Our task went beyond mere design; we had to create a platform that enabled Webedia to attract sponsors and partners, ensuring a highly successful appearance at gamescom 2025.
FYNG City – Districts of a single Cyberpunk Metropolis
The central theme was a modern, cyberpunk city. Across a 752 m² area, we created a pulsating ecosystem featuring a main stage, a chillout zone, and a dedicated influencer backstage. We divided the space into "districts"—customized zones for five key partners: SteelSeries, Tulpar, Fortnite, Beyblades (Hasbro), and NZXT. Each district remained consistent with the core concept while maintaining its unique brand identity, drawing massive crowds—especially for the high-octane Beyblade tournaments.
Challenges: Project Management Across 21 Fronts
The true test lay in the management. We led a project where every decision had to pass through multiple stages: from our team, through the client, to their partners. At the peak of the project, we were simultaneously planning, designing, and quoting 21 potential partner zones.
This created a "domino effect"—a change in square footage for one partner or a branding conflict between brands forced immediate reactions and modifications to the entire master plan.
Add to that the pressure of time and the peak holiday season, and you have a recipe for a logistical nightmare. The key to success was a close, workshop style collaboration with the Webedia team, which allowed us to react almost in real-time.
Another unexpected challenge was large-format printing. Graphics prepared for digital use were useless on 20 × 4 m walls. To maintain the highest quality, our 3D graphics team recreated the entire city from scratch, modeling buildings and neon signs specifically for the printing requirements.
Evolution that made the difference
Compared to the previous year, we implemented key improvements. We moved the entire control room backstage, giving us full control over production.
We introduced PTZ cameras and routed all signal cables through a dedicated overhead "bridge" above the stand, avoiding any floor clutter. However, the most significant change occurred in communication—earlier, more meticulous planning and a smaller barrier between teams allowed us to operate much more efficiently.
The final result exceeded our expectations, and its prestige was highlighted by a visit from the German Federal Minister for Family Affairs. Yet, for us, the most rewarding moment was the direct gratitude we received from the client at the end of the event. It was the ultimate proof that even in the most complex projects, a partnership-driven approach and mutual trust are what truly count.
Does your company need an exhibition stand that not only looks great but is also a precisely managed project? Let’s talk.
What was the scale of the Webedia exhibition stand at gamescom 2025?
Answer: The stand covered an area of 752 m². It featured a main stage with spectator grandstands, five dedicated partner zones (including SteelSeries, Fortnite, and Hasbro), and a professional backstage area divided into 10 separate rooms for staff and guests.
What was the biggest challenge in managing this project?
Answer: The biggest challenge was the so-called “domino effect.” The project involved numerous decision-makers from the client’s side as well as their partners. Every change, even a minor one in a single zone, triggered a cascade of adjustments across the entire schedule and design, requiring immense flexibility from our team.
How did you handle the issue with large-format prints?
Answer: Standard digital graphics were not suitable for printing on surfaces as massive as a $20 \times 4$ m wall. To solve this, our graphics team recreated the entire cyberpunk city scenery in 3D, building new models of the buildings and neons from scratch specifically for high-resolution printing.
What key improvement did you implement compared to the previous year?
Answer: The most significant technical improvement was moving the entire production hub (the control room) backstage, which granted us greater control and operational freedom. From a process perspective, the key factor was establishing better, earlier communication across all production and technical teams.
